Management Procedures

Three levels of management maintain quality assurance on all security sites. Field Supervisors inspect and monitor each security guard on a daily basis. Field Lieutenants inspect and review Field Supervisor’s on a weekly basis, and the General Operations Manager monitors all local field and office operations.

Clients are provided numerous opportunities to meet with our management team. Field Supervisors are available for contact and questioning on a daily basis. Field Lieutenants are required to meet with client representatives on weekly basis to review and discuss the security program in practice. In addition, the General Operations Manger is required to make non-scheduled visits for on-site security guard inspections.

In the event that any of our security guards demonstrate deficiency in their workplace performance, the individual will be immediately replaced.

Levels of Security Management

Field Supervisors
Field Supervisors must meet the same employment requirements as security guards, but must also possess management and organization skill sets. In addition to uniformed assignments, their duties include training, scheduling, security force management and administrative matters. Field Supervisors are required to visit every installation assigned to them on a daily basis.

Field Lieutenants
Field Lieutenants are responsible for overseeing a group of installations. These individuals are tasked with total responsibility for operational and administrative functions on assigned security sites. Field Lieutenants conduct weekly inspections as well as client contacts. Through consistent follow-up and rigorous inspection practices, Field Lieutenants ensure that all levels of security guards are organized to provide quality service.

General Operations Manager
The General Operations Manager is responsible for the satisfactory servicing of our clients’ accounts. The General Operations Manager reviews and analyzes all security reports for accuracy and completeness. This manager is tasked with conducting on-site security guard inspection and is available to discuss client questions and/or concerns. In addition, this individual is tasked with inspecting all Field Lieutenants on a bi-weekly basis.

Documentation & Reports
Our security guards are trained to complete sophisticated reporting procedures which include, but are not limited to Daily Activity Reports, Security Site Incident Reports, and “How Are We Doing” Evaluation Forms. Each security guard is trained on special report writing which focuses on proper report procedures and completeness. Our documentation is designed to deliver accurate information to the client contact as well as our management group.

Daily Activity Reports
Daily Activity Reports are comprehensive reports which include observations by the security guards on duty. These reports are completed for every shift our security guards are assigned, and the completed documents are delivered to the client’s designated representative on a regular basis.

Security Site Incident Reports
These reports are completed by security guards when they observe incidents such as accidents, damaged property, or personal injury. This report was developed to document unusual incidents promptly and thoroughly. Details provided in this report typically capture factual data that may be overlooked in a cursory inspection of the incident. Copies of these reports are provided to the client’s representative and the Code 3 Security management team immediately following the incident.

“How Are We Doing” Evaluation Forms
Code 3 Security’s goal is to surpass our client’s expectations, and we are serious about our service recovery. If service issues arise, we will not only recover the service to our client’s expectations, we will go further to exceed expressed satisfaction standards. The “How Are We Doing” Evaluation Form alerts Field Lieutenants and the General Operations Manager to issues that may be arising on a security site. Upper Management responds to client contacts with 48 hours of receiving an unsatisfactory rating. This form is just another way that Code 3 Security demonstrates its commitment to proactively addressing potential issues.
